Get the account structure right first

You need the WhatsApp Business Platform (the API), not the consumer app, for anything automated at scale. That means a verified business, a dedicated number, an approved display name and a platform provider. Understand the two message types

Collect explicit, recorded consent — a checkbox at enquiry, a keyword reply, a form field — and store where and when it was given. Make opting out one word and honour it immediately. Quality rating is driven largely by how people react to your messages; blocks and reports degrade it and eventually your ability to send.

Flows worth automating

  • Instant first response with genuinely useful answers, not "we will get back to you".
  • Qualification — need, timing, scale — before a human joins.
  • Appointment booking, confirmation and reminders. Reminders alone usually pay for the project in reduced no-shows.
  • Order and delivery updates triggered by your own systems.
  • Post-purchase follow-up and review requests.
  • Enquiry recovery for people who went quiet, once, with something useful.

Integrate with the systems you already run

Every conversation should land in your CRM against the right contact, with transcript and outcome. Without that, you have created a second inbox nobody reconciles — and your sales team calls people who already answered the question on WhatsApp.

Keep the human path short

Automation handles the repeatable part. The escalation path should be one message away, with full context passed to the person taking over. Publish your real response hours; instant automated answers plus honest human timing beats vague promises.

Metrics to watch weekly

  • Response time and resolution rate.
  • Automation containment — resolved without a human, and correctly.
  • Escalation accuracy.
  • Template delivery and read rates.
  • Opt-out rate and quality rating. Treat any drop as urgent.
  • Booked appointments, show rate, and revenue attributed.

What good looks like

Instant replies at any hour, no enquiry unanswered, reminders that cut no-shows, and a team that only handles conversations needing judgement. What it should never look like is broadcast marketing to people who never asked.
